Agency guidelines for profile management and tracking
Everything you need to monitor your clients, catch issues early and keep results consistent, with a short daily check.
Tracking the profiles
General recommendations for keeping profiles healthy over time.
Content activity on the page
Make sure fresh content is uploaded regularly. Active pages consistently show better, more meaningful results over time.
Password or profile-name change
Tell the client in advance that if the password or profile name changes, they must pass the updated details to you.
The account must be at least three weeks old. It can be connected to the system and activated once this minimum period has passed.
Important: up-to-date contact details
Make sure the account's email address and phone number are up to date.

Checking the Errors page
We recommend going over the Errors page daily to check for account issues.
Main errors
- Empty: appears when sources are missing.
- Login Failure: usually caused by the client changing or updating the password.
If we have not already queried the error, contact us before reaching out to the client. When the errors on the Errors page are unclear, we recommend contacting support to investigate.

Checking results
Daily monitoring of every active profile in the Analytics Dash.
The actions table
The table shows the change in follower count across several days and the time of the latest action. Focus on the follower-growth metric and filter by metrics defined in advance. Review the results daily.
The last-action metric
The Last Statistics Update column shows when the account was last refreshed. An account that has not updated in a long time needs attention.

The 7-day follower-growth metric
In the Analytics system you can use the filters and save the filter for future use (Save Settings).
- Select a 7 Days period and the Growth or New Followers metric.
- Click Apply Filters and compare the accounts.
- Identify which accounts received lower results.

Checking the actions table
We recommend reviewing the account's running actions table daily.
Comparing Active Accounts with actual Runs
In the example, 23 active clients are shown, but since 00:00 of that day only 21 have run. The remaining two clients are listed as Pending Start, meaning they have not yet been activated in the system.
If the number of activated accounts differs from the number of running accounts, we recommend checking this with us.

Reviewing the actual volume of actions performed
Check the volume of actions, not just that the run happened. You can review this on the main page or in the analytics file. If the action volume of recent days is significantly lower than previous days or below the overall expectation, look into it.
For a healthy account, ignore the last day in the table, which has not finished yet.

Activity volume and reporting issues
Catching deviations early saves time and improves results.
Identifying accounts with a low action volume
Identify accounts with a low action volume relative to others, or accounts not approaching the possible maximum (the Curr vs Max columns).

Reporting issues
Report any account issue or deviation to us promptly, or open a ticket in the system, so we can handle it quickly and effectively.

Refreshing sources
From time to time, we recommend refreshing each profile's activity sources.
Checking each source's follow-back ratio and performance
In the sources table, check each source's FB Ratio and action volume.

Removing weakly performing sources
Set Min Actions to at least 15 so you rely on sources with enough data, and remove weak sources.

Adding new sources to improve results
Add new sources (for example, Follower of target account) and set the Target Follow Back Ratio.
After every change, click Save.

Advanced and optional
Extra tools for anyone who wants to go a step further.
Using the API
You can use the API to read and edit information and to build custom reports.
Analytics (optional)
On the Analytics page you can, as needed, track follower volume and the account's overall performance and results. Monitoring this page is not mandatory, but it can help spot trends and improve performance.
